Payroll Clerk/Accounting Clerk  

JOB DESCRIPTION

Facility: Administration Office, Sterling

Pay: $20.00– $24.87 per hour


Function or purpose of the position: 

Process bi-weekly payroll, accounts payable, accounts receivable, and assist the Finance Department in monthly and yearly accounting functions including annual audits.


Essential tasks and functions specific to the position:

-          Enter and maintain all employee information in accounting software.

-          Ensure compliance with DDS Rules and Regulations and other appropriate regulatory mandates.

-          Bi-weekly collect and review employee and client timecards from all facilities.

-          Process bi-weekly payroll for employees and clients.

-          Submit ACH payment deposits for bi-weekly payroll.  Distribute payroll checks that are not submitted by ACH payment method and distribute all paycheck stubs.

-          Submit and maintain 941 tax and Colorado EFT tax payment information on a bi-weekly basis.

-          Submit and maintain Colorado SUTA/FUTA tax payment information.

-          Regular communication with HR department regarding all employee benefits, pay rates, employment status, etc.

-          Make daily deposits to the bank.

-          Report Social Security Wages to Social Security Administration monthly

-          Maintain and bill monthly accounts receivable for Vocational contracts and Client Room & Board.

-          Maintain accounts payable vender information in accounting software. Process and mail/distribute accounts payable checks as needed.

-          Maintain the finance departments filing system including the filing of all documents.

-          Collect monthly sales and sales tax reports from vocational facilities and file quarterly sales tax returns.

-          Other duties maybe assigned.


Knowledge, skills, and abilities that are necessary when performing the position:

-          Working knowledge of payroll, basic accounting principles, accounts payable and receivable.

-          Working knowledge of Internet websites, Microsoft Excel, Word, and Outlook.

-           Must know how to operate a calculator, scan/copier/printer/fax machine. 

-          Ability to learn and use various accounting and employee software used by the agency.

-          Ability to communicate effectively and  work productively in a team-oriented environment.

 

Agency Requirements:

-          High School Diploma or equivalent plus three years of experience processing payroll.

-          Must possess valid driver’s license.

-          Must be at least 18 years of age.

-          Must pass background and motor vehicle checks.

-          Attend in-service training, meetings, seminars, etc. as required.

 

Physical demands:

While performing the duties of this job, the employee is regularly required to sit; use hand to finger, handle, or feel objects, tools, or controls; reach with hands and arms; hear and can communicate on a verbal basis.  The employee must have adequate visual acuity with or without correction and is required to lift heavy weights up to 25 lbs. The employee is occasionally required to travel to meetings, training, agency facilities and other job-related locations.
